In his blog post yesterday, Michael Arrington of TechCrunch talked about email communication crisis and our ability as human beings to be able to respond to all the email that we receive. He said “The volume of communication requests for most people today are far, far beyond what they can handle. Few people today respond to every communication they receive. And an increasing number don’t even claim to be able to read every communication they receive, let alone respond”.

I am happy to report that I have zero unread email messages in my Inbox. Here is my method for managing my Inbox to ensure that all of the messages that need to get answered do, in a timely manner:

“Read Later” bookmarking tool

I browse the web and search for information constantly and as I do, I stumble upon different websites that I would like to read but can’t do it at the time of the search because I’m busy doing something else and don’t want to get distracted.

I used to save all of my “read later” websites into a folder called “To Read Later” in my browser bookmarks.  Well, now there is a faster and better way….Instapaper.com

How it works

  1. Go to Instapaper.com and register (no information other than username is required).
  2. Drag this bookmarklet to your bookmarks toolbar:
    Read Later
  3. Then, next time you’re on a site that you want to read later, just click that bookmark and it will be added to your Instapaper reading list.  When you have time to read, you go to Instapaper.com on your computer or phone and get whatever you wanted to read.

Why this tool better than a browser bookmark and Del.icio.us tools?

  1. This tool saves you time.  All you have to do to add a website to your reading list is click a button.  No bookmark filing and No tagging is involved.
  2. Very easy to manage - All of your links are sorted into three groups: Unread, Recently Read, and Recently Skipped.   Clicking one of the ‘Unread’ links automatically moves the site link into the ‘Recently Read’ category.  You can also easily manage your links with the Edit and Delete options provided next to each link.
  3. The site provides an RSS feed for your bookmarks.  If you don’t want to keep going back to the site, you can read all of your articles through your RSS reader.

I have been using this tool for a week now and I’m loving it.  It has saved me a lot of time.

Convert any image to a vector image in under 3 minutes

I recently discovered VectorMagic, a website tool that will convert almost any image into vector format in under 3 minutes. Vector format images allow you to increase the size of your image to any size without pixilating it.

Most image formats like JPEG and GIF are represented as pixels. Each pixel in the image stores digital numbers representing brightness and color. As you increase the size of the image, your software has to create new pixels and it estimates the color values of the new pixels based on the surrounding pixels…thus the image becomes pixilated.

Vector image formats contain a geometric description which can be rendered smoothly at ANY desired display size. Vector images are usually created in an application called Illustrator. To convert a JPEG image to a vector based image, one has to trace the image with a Pen tool in Illustrator. This takes a long time, depending on the details of your image.

That is why when I first came across VectorMagic, I was skeptical at first and decided to test it right away.

Save time with text replacement software

Almost everyone I know is always looking for ways to “save time”.  A great time saver that I use is search replacement software.  This software allows you to create shortcut strings and associate them with blocks of text.  It is perfect for signatures, addresses, salutations and any repetitive text.

If you use a Windows operating system, download Texter (Lifehacker gives a great orientation of how to use the software).   For all the Mac users, I would recommend TextExpander.

Both of these software work in a similar fashion and will save you from typing a lot of keystrokes in the course of the day.
